Executive Administrative Assistant Job Purpose: Enhances executive's effectiveness by providing information management support; representing the executive to others, creative implementation of developing program in education, some research and analysis of data related to Catholic School education in Southwest Michigan and technological assistance.
Executive Administrative Assistant Job Duties:
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
- Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Represents the executive by attending meetings in the executive's absence; speaking for the executive.
- Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
- Maintains customer confidence and protects operations by keeping information confidential.
- Completes projects by assigning work to clerical staff; following up on results.
- Prepares reports by collecting and analyzing information.
- Secures information by completing data base backups.
- Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
- Develops attractive and informative brochures, booklets, and pamphlets in cooperation with the Office of Communications of the Diocese of Kalamazoo describing efforts and implementation of the “Alliance of Catholic Schools of the Diocese of Kalamazoo.”
- Contributes to team effort by accomplishing related results as needed.
- Other duties as assigned.
Skills/Qualifications: Administrative Writing Skills, Reporting Skills, Scheduling, Microsoft Office Skills, Organization, Time Management, Presentation Skills, Verbal Communication, Research Skills, and Technological Skills for Presentations and Information. Knowledge of the Roman Catholic Church, and Catholic Schools preferred but not required.

Diocese of Kalamazoo Position Opening
Ecclesiastical Notary and Executive Assistant to the Diocesan Tribunal
The Diocese of Kalamazoo is seeking a detail-orientated candidate for a full-time position as Ecclesiastical Notary and Executive Assistant to the Diocesan Tribunal. The key responsibility is to provide the Judicial Vicar and Tribunal officials with assistance in all aspects of the efficient operations of the Tribunal.
Specific responsibilities include administrative and clerical assistance for all operations of the Tribunal, accounts receivable, database management, Tribunal archives, end of year reporting for the Annuario and Apostolic Signatura, and maintaining basic knowledge of Canon Law as it pertains to the Sacrament of Marriage and Declarations of Nullity.
As an ecclesiastical position, this appointment is governed by the Code of Canon Law. He or she must in full communion with the Roman Catholic Church and actively practicing their faith. (Cf. Canon 483.2)
The ideal candidate is familiar with the Church’s teachings regarding the Sacrament of Marriage and divorce; has an accounting or business related degree or 3-5 years work experience in providing administrative support and bookkeeping; competent with MS Office software; proficiency for learning new software; confidentiality, possesses attention to detail and ability to prioritize tasks. Formal training or work-related experience pertaining to Canon Law or Tribunal procedures is preferred.

Organist/Music Director Job Opening
Old St. Patrick Catholic Church in Ann Arbor, Michigan is seeking a qualified candidate to work as a part-time Music Director and Organist (15-20 hours/week.) If desired, the position might be supplemented with unrelated work at the parish office. Salary is flexible with experience. Proficiency at the organ, experience directing choirs, the ability to cantor, familiarity with Roman Catholic Church documents on music and the liturgy, and a working knowledge of Gregorian chant is required. Familiarity with the Extraordinary Form of the Mass and pronunciation of ecclesial Latin is highly recommended. Responsibilities include one weeknight choir rehearsal, three weekend Masses, one weekend choir rehearsal, additional seasonal rehearsals, additional yearly liturgies including Masses on Holy Days, holidays, First Communion, Confirmation, a monthly Extraordinary Form Mass, and twice-yearly penance service liturgies.
